Case Study: How SWIFT™ process automation was used by a national company to generate productivity and cost savings
Sponsor:Crossvale
Category:Deployment Case Study
Presenter:Jason Sharp
Date/Time:September 15, 2011 12:00pm Eastern
Time Zone:Eastern Daylight Time
Length of Session:1 Hour
Target Audience:Lean Six Sigma professionals, business process champions, project managers, stakeholders involved in the deployment, implementation, or integration of business processes
Description:Learn how Crossvale helped a large marketing services company with over 4,000 employees in over 100 locations nationwide, achieve annual productivity savings of 17,600 hours and $1 million. Crossvale deployed the SWIFT™ process automation solution in November of 2010, automating several key Human Resource and cross-functional processes. The presenters will discuss the planning and implementation activities, lessons learned and best practices associated with this deployment. They will also present the results and benefits achieved in the first eight months of operations. A demo of the SWIFT product will be provided to highlight the features and functionality that led to these savings.

SWIFT™ provides a centralized, secure, one-stop shop for business users to submit, review, and manage integrated end-to-end processes throughout an enterprise. Traditional BPM solutions put the burden of implementation on end-users and their IT resources. SWIFT is a total solution which incorporates the Crossvale professional services team during development and implementation, ensuring full integration with the client’s systems infrastructure, supporting user adoption, and helping analyze the results.

The company's human resources department reorganized to a smaller workforce responsible for greater services. Their existing BPM platform was too difficult to configure to address the real challenges their processes were facing. In particular, their processes required cross-functional integration, supplementing deficient outsourced provider functionality, and tier zero training and empowerment of the workforce. Consequently, the limited HR operation staff was primarily fire-fighting and hand-holding, functional areas had to redundantly enter data, and many workforce processes remained manual. Needing affordable customization and quick results, the firm looked for alternative solutions and selected SWIFT.

Crossvale consultants worked hand-in-hand with the marketing services firm's business experts to introduce five, friction-free HR and cross-functional automated processes. SWIFT™ empowered employees to complete workflows without having to reach out to HR staff or managers. It also enabled them to track the workflow-progress through to completion. Process errors were practically eliminated through the use of Smart Forms, requiring minimal data entry from the workflow initiators and approvers. The SWIFT solution integrated seamlessly with databases and applications in the company's technology infrastructure, eliminating multiple human interfaces.
